KU CATERING REOPENING PLAN AND SAFETY PROTOCOLS

Welcome back - we've missed you!

We are looking forward to welcoming back our Jayhawk community at the Kansas Union and Burge Union on August 3 and DeBruce Center on August 10.

Our commitment to our community

To help reduce the risk of spreading COVID-19 and to protect the safety, health, and well-being of our community, we are making important adjustments to on-campus dining for 2020-21. This webpage and our dining operations plan will continue to evolve in accordance with guidelines from the CDC, the University, and the state health department's recommendations. Our goal is for everyone to feel at ease when we welcome you back to one of our dining facilities this fall. REOPENING UPDATES


Event & Staff Protocols

  • Buffets will have catering attendants to assist guests with making their plate. 
    • At this time, we are not offering self-service buffets.
    • All buffets will have a Safeguard to protect guests and staff. Safeguards will be cleaned between each event.
  • A two colored glove system along with handwashing every hour (or as needed) will be enforced and implemented by Catering staff.
  • All meeting rooms and event spaces have been set up to maintain social distancing of at least 6 feet. View our social distancing set-up chart and capacities here.  
  • Your event space will be cleaned and disinfected prior to your arrival according to CDC guidelines.
  • We are committed to following event protocols as determined by the University and local, state and federal agencies. For further information on hosting your event, please visit the Event Services Reopening Plan webpage.

 


Placing Your Catering Order

  • All catering must be provided by KU Catering (kucatering@ku.edu) and will be served or distributed per current health and safety regulations. 
  • All orders must be placed by 12:00pm on the Friday 7 business days prior to the event.​
    • Any requests made after 12:00pm on the Friday 7 business days to the event will be assessed a 20% late fee and limited dining options may apply. 
  • To allow ample time for the planning and preparation of your event, we recommend that the final meal selections be made two weeks prior to the event.

Cancellations

  • Given the ever changing market dynamics, we would like to offer more flexibility to our groups, student organizations, departments and affiliates  scheduled events for the Fall 2020 Semester.
    • ​In the event you must cancel your catered event, please notify us as soon as possible. We require at least 2 business days’ notice or you will be charged for the expenses incurred on your behalf. Please contact Tabitha Crews at 785-864-2444 or Phillip Vann at 785-864-2400 to cancel over the phone.

Guest Counts

  • Current event capacity, per Douglas County Public Health Department45 people
  • To ensure appropriate service preparation, we require the final guaranteed number of guests by 12:00 p.m. (noon) 3 three business days prior to your event.
  • You will be charged for this number of guests unless you exceed the guaranteed number at which point you will be charged for the actual number served.
    • Increases in the number of guests within 72 hours of the event will be subject to an additional 50% of meal price per added person.

Enhanced Cleaning & Safety Measures

  • Enhanced Cleaning Measures
    • Reduced hours to allow for thorough cleaning.
    • Our crews have expanded our sanitation practices and frequency in public areas that are touched frequently and in our meeting spaces between events.
    • Your event space will be cleaned and disinfected prior to your arrival according to CDC guidelines.
  • Safety Measures
    • ​All KU Memorial Union employees have been provided masks to wear.
    • Staff will be screened daily for COVID-19 symptoms.
    • Hand sanitizer stations will be available throughout buildings, adjacent to large event spaces at all Union buildings and dining locations.
    • We will continue to monitor recommendations from the CDC for preventing the spread including accountability protocols for staff. 

COVID-19 Warning

We have taken enhanced health and safety measures -- for our Jayhawk community, employees, students, and visitors. You must follow all posted instructions while in our facilities. 

An inherent risk of exposure to COVID-19 exists in any public place where people are present. By visiting the Unions, you voluntarily assume all risks related to exposure to COVID-19. Let's keep each other healthy.
